Oon & Bazul LLC is a Singapore disputes and international arbitration firm handling high-value commercial disputes, fraud and asset recovery, shipping, trade, banking and shareholder disputes. We operate from VisionCrest Orchard and are building a focused, disciplined and premium disputes practice — a standard that extends to how the firm is run day to day.

About the Role

We're looking for an HR Admin to own the day-to-day running of our people operations, from recruitment through offboarding. This is a hands-on generalist role, reporting to the COO, that suits someone organised, dependable and comfortable managing multiple trackers and deadlines with minimal supervision.

Key Responsibilities

Recruitment & Onboarding

• Screen and shortlist applications, prepare interview packs, coordinate interview scheduling
• Maintain recruitment trackers and keep candidates updated on status
• Track onboarding progress, coordinate system/account provisioning with IT, and ensure onboarding documentation is complete

Employee Administration

• Process employee documentation and maintain accurate records
• Manage HR system tickets and leave-related queries
• Action payroll, IT and administrative requests requiring HR input

Offboarding

• Manage employee exits end-to-end, including final payroll, tax clearance and reimbursement calculations
• File offboarding documentation and communicate outstanding matters to departing employees

Reference Checks & Policy Work

• Review reference check requests and route for approval
• Maintain and update the Employee Handbook, policies and HR templates

Compliance & Process Discipline

• Follow established SOPs and processes accurately and consistently, without shortcuts
• Ensure all HR documentation, employment terms and processes comply with Singapore employment law and statutory requirements (MOM, CPF, IRAS)
• Flag any uncertainty on legal or compliance matters to the COO rather than making an independent call
• Maintain audit-ready records at all times

Stakeholder Follow-Up

• Respond to queries from management, employees, finance, IT and vendors on HR matters
• Track outstanding approvals and follow up until resolved

Technology & Efficiency

• Use AI and technology to improve efficiency and streamline HR processes, documentation and tracking
• Identify manual, repetitive HR admin work that can be automated or simplified

Requirements

• 1–3 years of HR generalist or HR admin experience, ideally in a professional services environment (experience within legal services is an advantage, but not required)
• Strong organisational skills and high attention to detail
• Confident following up firmly with stakeholders at all levels
• Familiarity with Singapore employment practices, employment law and statutory requirements (MOM, CPF, IRAS)
• Disciplined about following SOPs precisely, with a low tolerance for compliance risk or shortcuts
• Comfortable using AI tools such as Claude, Copilot or similar to work more efficiently
• Discretion in handling confidential information
