Facilities Executive (GMP)

Job Summary

The Facilities Executive is responsible for the day-to-day management and delivery of soft facilities services within a pharmaceutical manufacturing site. The role will oversee service providers and ensure all services are delivered safely, efficiently, and in compliance with GMP, EHS, client requirements, contractual obligations, and agreed service standards.

The scope covers cleaning and housekeeping, pantry and food services, vending machines, pest control, waste management, hygiene services, and other workplace support services.

Key Responsibilities

• Manage the day-to-day delivery of soft facilities services, ensuring high standards of cleanliness, hygiene, service quality, and workplace experience.
• Oversee and coordinate vendors and contractors for cleaning, pantry/food services, vending, pest control, waste management, and other soft services.
• Ensure all services comply with GMP requirements, site procedures, EHS standards, and agreed KPIs/SLAs.
• Conduct regular site inspections, service audits, and hygiene checks to identify gaps and ensure standards are maintained.
• Ensure cleaning schedules, service records, inspection reports, and other relevant documentation are properly maintained and audit-ready.
• Monitor pantry and food services, including hygiene, food quality, replenishment, equipment, and vendor performance.
• Manage pest control and waste management activities in accordance with site and regulatory requirements.
• Ensure contractors are appropriately trained and comply with site-specific GMP, safety, hygiene, and access requirements.
• Respond to service issues, complaints, and non-conformances, ensuring timely corrective actions and follow-up.
• Support GMP, EHS, client, and regulatory audits, including investigation of findings and implementation of corrective and preventive actions.
• Prepare regular service performance reports and provide updates to the Facilities Manager and client.
• Identify opportunities for service improvement, cost optimisation, sustainability, and enhanced employee experience.

Requirements

• GMP experience within a pharmaceutical manufacturing environment is mandatory.
• Diploma or Degree in Facilities Management, Hospitality, Building/Property Management, Engineering, or related discipline.
• Minimum 3–5 years of relevant facilities management or soft services experience.
• Experience in pharmaceutical manufacturing, healthcare, food manufacturing, or other regulated environments will be advantageous.
• Prior experience managing cleaning, housekeeping, pantry/cafeteria, food services, vending, pest control, and/or waste management.
• Experience managing third-party vendors and contractors.
• Strong understanding of hygiene, contamination control, workplace safety, and compliance requirements.
• Strong vendor management, communication, and stakeholder management skills.
• Good documentation, reporting, and problem-solving abilities.
• Proactive, hands-on, and service-oriented with the ability to work in a highly regulated and fast-paced environment.
