Customer Service Admin - West - WCDT

Customer Service Executive

Responsible for managing customer orders, coordinating deliveries, and providing professional customer support. Work closely with internal teams, suppliers, freight forwarders, and warehouses to ensure smooth end-to-end order fulfilment and timely resolution of customer enquiries.

Key Responsibilities

Order Management & Coordination

• Process and manage customer orders accurately and promptly.

• Issue order confirmations and provide updates on delivery schedules.

• Coordinate with operations, warehouse, and logistics teams to ensure timely deliveries.

• Monitor order status and proactively follow up on delays or exceptions.

• Coordinate sample approvals with customers to facilitate shipments.

Customer Service

• Handle customer enquiries, complaints, delivery issues, and service requests professionally.

• Keep customers informed of order changes, delays, and stock availability.

• Build and maintain strong customer relationships.

Documentation & System Administration

• Prepare and maintain order-related documents, including DOs, invoices, and shipping documents.

• Update order, delivery, and customer information accurately in SAP.

• Ensure proper and timely data entry in accordance with company procedures.

Internal & External Coordination

• Liaise with Sales, Purchasing, Logistics, Finance, and Warehouse teams to ensure smooth order execution.

• Coordinate with suppliers, freight forwarders, and 3PL providers on shipment and delivery matters.

• Assist with audits, reports, and management requests related to customer service and order fulfilment.

Process Improvement

• Identify recurring service issues and recommend appropriate solutions.

• Support process improvements to enhance customer satisfaction and operational efficiency.
