Event & Congress Co-Ordinator [West / Regional / Med or Pharma]

We are seeking an experienced Event & Congress Coordinator to support the planning and execution of regional meetings, congresses and professional education events across APAC. This role is ideal for someone with strong regional healthcare/pharmaceutical/medical device event experience, particularly in managing congresses, KOLs and events within a regulated environment.
- Contract: 1 year, renewable
- Salary: Up to $7,500/month
- Location: West (2 ways tranport provided)
Key Responsibilities
- Support Surgical Commercial Operation Team in planning and executing of regional meetings & events, including Advisory Boards, and external promotional/educational events at major congresses and internal Business Plan meetings in both physical or virtual format.
- Coordinate closely with APAC country teams, internal stakeholders and Key Opinion Leaders (KOLs) to ensure smooth event delivery.
- Ensure events comply with company policies, industry codes, APACMed regulations and relevant host-country regulatory requirements.
- Manage external vendors including event agencies, creative/media agencies, production houses and other service providers.
- Coordinate end-to-end event logistics, approvals, attendee databases and backend programme support.
- Manage and track event budgets, ensuring cost-effective utilisation of resources.
- Handle post-event administration including payments, invoice coding and reconciliation.
- Conduct post-event analysis and reporting against established KPIs and participant feedback.
- Support virtual events and digital engagement initiatives.
- Provide ad-hoc administrative and operational support to the wider APAC team.
- Travel regionally when required, estimated at approximately 15–20%.
Requirements
- Minimum Diploma or Degree, preferably in Marketing, Business or a related discipline.
- Minimum 5 years of relevant event planning/congress experience, with exposure at both regional/APAC and country level.
- Prior experience within the Medical Device, Pharmaceutical, Medical or Healthcare industry is required.
- Experience managing medical congresses, doctors/KOLs and professional education events is highly preferred.
