Administrative Assistant
About this job
The Administrative Assistant provides administrative and coordination support to three functional leaders within the Asia Business Unit, primarily supporting stakeholders in Singapore and Australia, with broader regional exposure as required. The scope of support maybe adjusted over time based on business priorities and organizational needs.
Key Responsibilities
- Provide administrative and coordination support to assigned functional leaders, including complex calendar management and scheduling across multiple time zones.
- Coordinate domestic and international travel arrangements, including itinerary planning, visa support where required, and travel-related issue resolution.
- Manage expense claims and related documentation in a timely and accurate manner.
- Coordinate team meetings, leadership forums, offsites, and other events, including logistics, materials preparation, and follow-up actions.
- Serve as a key point of contact for stakeholders, helping to facilitate communication and coordination across teams.
- Assist with special projects and ad-hoc assignments to support business and team priorities.
Requirements
- At least 5 years of experience providing administrative and coordination support to senior leaders and/or teams.
- Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities concurrently.
- Experience coordinating projects, events, team activities, and travel logistics.
- High emotional intelligence, with the ability to build positive working relationships and navigate different stakeholder styles with professionalism and discretion.
- Strong communication and interpersonal skills, with a collaborative and team-oriented approach.
- Demonstrated ability to handle confidential and sensitive information with sound judgment and integrity.
- Proficient in Microsoft Office applications, including Outlook, PowerPoint, Excel, Word, and Teams.
- Excellent written and verbal communication skills in English.
- Comfortable working in a regional and multicultural environment, with strong cross-cultural awareness and sensitivity.
- Self-starter who is adaptable, resourceful, and able to thrive in a fast-paced environment with changing priorities.
- Proactive mindset with a willingness to support the broader team and step in where needed to ensure smooth operations.
