Job Summary

We are seeking an experienced Senior HR & Admin Executive to lead HR and office administration for Singapore and support Australia. This role covers the full employee lifecycle, HR compliance, payroll coordination, employee relations, and daily office management.

Responsibilities

  • Lead end-to-end HR processes across recruitment, onboarding, performance management, and offboarding to ensure smooth employee lifecycle management
  • Coordinate payroll activities to ensure accurate and timely salary processing for Singapore and Australia offices
  • Manage HR compliance by monitoring and implementing relevant employment laws and company policies
  • Resolve employee relations issues by providing timely support and facilitating effective communication between staff and management
  • Oversee day-to-day office administration to maintain efficient operations and a productive work environment
  • Collaborate with stakeholders across Singapore and Australia to align HR practices with business needs
  • Independently prioritize and execute HR and administrative tasks in a fast-paced, dynamic environment

About the role

We are seeking an experienced Senior HR & Admin Executive to lead HR and office administration for our Singapore, while providing HR support to our Australia office. This is a generalist role spanning the full employee lifecycle, HR compliance, payroll coordination, employee relations, and day-to-day office management across both locations.

The ideal candidate will be a proactive, detail-oriented HR professional with strong operational expertise, excellent stakeholder management skills, and the ability to work independently in a fast-paced environment.

Key responsibilities

HR operations & employee lifecycle (Singapore & Australia)

  • Manage end-to-end recruitment: job postings, candidate sourcing, screening, interview coordination, offer administration, and onboarding.
  • Administer work pass application/renewal/cancellation in compliance with Ministry of Manpower (MOM) requirements; coordinate employee accommodation and immigration support where needed.
  • Maintain accurate employee records in the HRIS; ensure timely updates for hires, transfers, promotions, and separations.
  • Oversee leave administration, attendance tracking, and timekeeping; verify to ensure compliance with company policies and local employment legislation.
  • Coordinate performance management cycles, including probation reviews, appraisals, KPI tracking, and development plans.
  • Support employee relations matters: handle queries, grievances, disciplinary processes, and policy implementation in line with employment law and company guidelines.
  • Administer employee benefits, insurance, medical claims, and other statutory matters (e.g. CPF, IR8A, IR21,childcare/maternity/paternity leave, NSMen claims).
  • Coordinate learning and development programmes, training grants, course registrations, and maintain training records.

Payroll & HR compliance

  • Liaise with payroll vendor to ensure accurate and timely payroll processing for Singapore and Australia employees.
  • Prepare HR reports, analytics, and statistical data for management review; participate in MOM, salary, and other market surveys.
  • Ensure compliance with employment legislation, company policies, and HR best practices; monitor and mitigate HR compliance risks.
  • Review and update HR policies, procedures, and standard operating procedures to reflect regulatory changes and business needs.

Office administration (Singapore HQ)

  • Administer corporate assets: laptops, access cards, and coordinate IT onboarding/offboarding
  • Coordinate corporate vehicle arrangements, expatriate housing and utility account set-up.
  • Organise company events, employee engagement programmes, wellness initiatives, and monthly
  • Prepare and distribute internal communications, including office announcements and holiday notices.

Regional HR support (Australia)

  • Provide day-to-day HR advisory and operational support to the Australia office, acting as the primary HR contact for local employees and managers.
  • Support Australia-specific payroll administration, leave management, and taxation matters in coordination with local vendors or finance teams.
  • Assist in reviewing and enhancing employee compensation and benefits programs for the Australia
  • Coordinate with auditors on payroll audit matters and support annual salary review and promotion exercises for the Australia

Any ad-hoc duties relating to HR and Office

Requirements

Education:

  • Minimum Diploma or Bachelor's degree in Human Resources, Business Administration, or a related field.

  • Experience: At least 5 years of progressive experience in HR operations, HR generalist, or HR & admin roles, with exposure to regional or multi-country support.
  • Technical skills: Strong proficiency in HRIS systems; advanced Excel and reporting skills; familiarity with payroll processes and statutory requirements in Singapore (and preferably Australia)
  • Knowledge: Solid understanding of Singapore employment legislation, MOM regulations, and HR best practices; working knowledge of Australian employment law will be an advantage.
  • Competencies: Excellent communication and interpersonal skills; high attention to detail; ability to manage multiple priorities and work independently; strong problem-solving and stakeholder management abilities.

Language:

Fluent in English(written and spoken).
