Key Responsibilities

  • Gather, analyse, and document business requirements, translating them into functional specifications.
  • Analyse business processes, perform gap analysis, and recommend suitable IT solutions.
  • Prepare and maintain project documentation throughout the project lifecycle.
  • Collaborate with business users, technical teams, and vendors to ensure successful solution delivery.
  • Facilitate requirement workshops, manage stakeholder communications, and obtain business sign-offs.
  • Review functional designs and support system integration activities.
  • Prepare and coordinate UAT, support users during testing, and work with developers/vendors to resolve defects.

Requirements

  • Minimum 2 years of experience in IT business analysis, system analysis, software implementation, or application support.
  • Strong communication and stakeholder management skills.
  • Good understanding of IT applications, including SQL, system integration, SDLC, and IT project delivery.
  • Strong analytical and problem-solving abilities.
  • Knowledge of IT service request management and software development methodologies.
  • Proactive, independent, and able to work effectively under tight deadlines.
  • Experience in higher education, government, or enterprise environments is an advantage.
  • Project management experience is a plus.

PMO Operations and Governance

  • Manage and support day-to-day PMO operations across the programme and project workstreams.
  • Ensure adherence to established project governance frameworks, standards, reporting requirements, and control processes.
  • Coordinate and support programme reviews, governance meetings, steering committee updates, and management reporting activities.
  • Work closely with Project Managers, Delivery Leads, Business Stakeholders, and Client teams on recurring and ad-hoc PMO activities.
  • Maintain project documentation, governance artefacts, decision logs, and project repositories to ensure completeness and audit readiness.

Project Financial Management, Tracking and Analysis

  • Own and maintain project financial tracking and reporting processes to ensure timely, accurate, and complete financial information.
  • Monitor project budgets, actual expenditures, committed costs, forecasts, burn rates, and funding utilization across multiple project workstreams.
  • Perform financial analysis to identify budget variances, cost overruns, spending trends, financial risks, and opportunities for optimization.
  • Support monthly financial closing activities, accruals, invoice verification, budget reconciliation, and cost allocation exercises.
  • Prepare financial dashboards, management reports, and executive summaries for project leadership and stakeholders.
  • Assist Project Managers in financial planning, budgeting, forecasting, and funding approval submissions, including business justification documents.
  • Review financial memos, procurement requests, change requests, and approval papers to ensure compliance with financial controls and governance requirements.
  • Track project financial commitments against approved budgets and provide early warning indicators on potential variances or budget constraints.
  • Support resource cost planning and forecast workforce costs against project budgets.
  • Collaborate with Finance, Procurement, Vendor Management, and Project Teams on financial reporting, budget management, and invoice processing activities.

Project Tracking, Reporting and Controls

  • Maintain accurate and up-to-date project status information across schedule, scope, financials, risks, issues, dependencies, and resources.
  • Consolidate project performance metrics and prepare weekly, monthly, and executive-level project status reports.
  • Monitor key project milestones, deliverables, budget utilization, and resource allocation to ensure alignment with project objectives.
  • Develop and maintain PMO dashboards, trackers, and reporting tools to support data-driven decision making.
  • Track and follow up on project risks, issues, assumptions, dependencies, and action items until closure.
  • Support project audits, compliance reviews, and governance checkpoints.
  • Identify reporting inconsistencies, data quality issues, and process improvement opportunities.

Project Administration and Resource Management

  • Support Project Managers in managing project invoices, vendor payments, purchase requests, and timesheet submissions.
  • Coordinate resource onboarding, offboarding, access provisioning, and project logistics.
  • Maintain resource trackers, leave plans, utilization reports, and workforce planning information.
  • Organize project meetings, workshops, governance sessions, and stakeholder engagements.
  • Prepare meeting minutes, document key decisions, track action items, and ensure timely follow-up to closure.
  • Maintain project shared repositories and ensure project artefacts are properly stored, version-controlled, and accessible.

Preferred Skills and Experience

  • Experience in PMO, project coordination, project administration, business operations, finance operations, or programme management support.
  • Strong financial analysis, budgeting, forecasting, and reporting skills.
  • Experience working with project financial management, cost tracking, budget monitoring, and management reporting.
  • Strong proficiency in Microsoft Excel, including Pivot Tables, Lookups, data analysis, and dashboard creation.
  • Experience with Power BI, reporting tools, or project portfolio management systems is advantageous.
  • Excellent analytical, organizational, and stakeholder management skills.
  • Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
  • Experience supporting large-scale government, public sector, technology, or transformation programmes is preferred.
