Admin Executive

• Acting Site Admin / PRO / CRO to provide comprehensive administrative and coordination support to the project team, ensuring smooth day-to-day project operations.
• Prepare, process and organise project-related correspondence, records, reports and commercial documentation.
• Maintain accurate physical and electronic filing systems, ensuring project information is properly recorded, updated and readily accessible.
• Coordinate with subcontractors and suppliers to obtain and follow up on required documentation, submissions, claims, certificates, delivery records and other project matters.
• Support Project Managers and Project Directors in preparing progress claims, project schedules, cash-flow information, insurance documentation and other project reports.
• Monitor outstanding administrative matters and maintain relevant trackers to ensure timely follow-up and completion of project deliverables.
• Assist with project meetings, including preparation of supporting documents, recording of relevant information and subsequent administrative follow-up.
• Coordinate general site and project office requirements, including supplies, documentation, filing, records and administrative arrangements.
• Ensure project documentation is systematically maintained, archived and handled in accordance with internal procedures and client/project requirements.
• Work closely with project personnel and external parties to support efficient project execution, while maintaining accuracy, confidentiality, organisation and responsiveness across multiple priorities.
