We are seeking a highly capable Personal Assistant to support our Managing Director in both business and personal capacities. Based at our East Coast office, this is a highly trusted role within a private family office, providing exposure to investment activities, business operations, executive administration, household management and personal affairs.
The successful candidate will become the Managing Director's right hand,ensuring the smooth coordination of both professional and personal responsibilities. This role requires exceptional discretion, initiative,organisational skills and the ability to anticipate needs before they arise.
A valid driving licence is required, as occasional transportation support for the Managing Director, family members or VIP guests may be necessary.

The Role
As Personal Assistant to the Managing Director, you will oversee a broad spectrum of responsibilities spanning executive support,personal administration, household management and lifestyle coordination.
You will act as the central point of coordination between the Managing Director, family members, household staff, professional advisers and external service providers, ensuring that both business and personal matters are handle defficiently, confidentially and professionally.
Due to the nature of a private family office, the scope of work is varied anddynamic and may evolve according to the Managing Director's operational andpersonal requirements.
Key Responsibilities
Executive & Administrative Support
· Manage calendars, meetings, appointments and daily priorities.
· Draft,prepare and manage confidential correspondence and emails.
· Preparer eports, presentations, briefing papers and meeting materials.
· Take meeting minutes and follow up on action items.
· Conduct research to support business and investment decisions.
· Liaise with banks, lawyers, accountants and business partners.
Personal Affairs Management
· Manage personal appointments, medical, wellness and family commitments.
· Coordinate personal banking, insurance renewals, memberships and subscriptions.
· Handle confidential personal matters with absolute discretion.
· Arrange gifts, celebrations, dining reservations and lifestyle bookings.
· Coordinate procurement of personal items and run personal errands as required.
Household & Estate Management
· Oversee the day-to-day operation of the household.
· Coordinate household staff, including maids, drivers, chefs and contractors.
· Arrange maintenance, repairs, renovations and servicing works.
· Coordinate vehicle servicing, inspections and insurance renewals.
· Manage household budgets, invoices, payments and records.
Travel & Concierge Management
· Plan domestic and international business and personal travel.
· Arrange flights, hotels, transport, visas and detailed itineraries.
· Track travel credits, memberships and loyalty programmes.
· Provide travel coordination before and during trips when required.
Business & Operational Support
· Assist with business initiatives and investment-related administrative work.
· Coordinate documentation with financial institutions and advisers.
· Monitor deadlines and ensure timely completion of tasks.
· Provide ad hoc administrative and operational support.
Who You Are
· 3–5years of experience as a Personal Assistant, Executive Assistant or Family Office Assistant.
· Experience supporting senior executives, entrepreneurs or UHNW families is advantageous.
· Highly organised, resourceful, proactive and adaptable.
· Excellent communication and interpersonal skills.
· Able to handle sensitive information with complete confidentiality.
· Strong multitasking and problem-solving abilities.
· Proficient in Microsoft Office and collaboration tools.
· Possesses a valid Class 3 driving license is a must
· Willing to work outside normal office hours when necessary.
