Job Summary
The HR Executive will provide administrative support for recruitment and HR operations, including talent acquisition activities, onboarding coordination, work pass administration, employee records management, travel arrangements, and HR documentation. The role requires a detail-oriented individual who can manage multiple priorities while ensuring compliance with company policies and statutory requirements.
Responsibilities
Recruitment Administration
- Prepare and issue offer letters, employment contracts, and related employment documentation to support hiring processes.
- Coordinate interviews and communicate effectively with candidates and hiring managers to facilitate recruitment.
- Conduct reference checks and assist with pre-employment screening to ensure candidate suitability.
- Maintain recruitment trackers, candidate databases, and hiring records to ensure accurate and up-to-date information.
- Ensure recruitment documentation complies with company policies and regulatory requirements.
- Coordinate onboarding activities and manage new hire documentation to support smooth employee integration.
Work Pass Administration
- Process Employment Pass, S Pass, and Work Permit applications, renewals, cancellations, appeals, and amendments in compliance with MOM regulations.
- Liaise with employees, hiring managers, employment agencies, and government authorities to resolve work pass matters efficiently.
- Monitor work pass expiry dates and submit renewal applications promptly to maintain legal compliance.
- Maintain accurate work pass records and documentation for audit and compliance purposes.
- Stay updated on Ministry of Manpower (MOM) regulations and employment-related changes to ensure adherence.
Onboarding & Employee Administration
- Coordinate onboarding arrangements and induction programmes to facilitate new employee integration.
- Prepare employee lifecycle documentation, including confirmation, transfer, promotion, salary adjustment, and resignation letters.
- Issue Personal Protective Equipment (PPE) to employees and maintain PPE inventory records.
- Maintain accurate employee records and personnel files, updating HR systems promptly.
- Provide administrative support to employees on HR-related matters with professionalism and discretion.
HR Operations Support
- Support daily HR administrative activities and operational requirements to ensure smooth HR functions.
- Assist in preparing HR reports, including headcount, recruitment, and employee correspondence reports.
- Support payroll administration by ensuring timely submission of employee-related information and documentation.
- Maintain confidentiality of employee information and HR records at all times.
- Coordinate issuance and collection of PPE, staff uniforms, and other employee-related assets, ensuring timely replenishment.
- Ensure compliance with company policies and Singapore employment regulations in all HR operations.
Travel & Mobility Administration
- Coordinate travel arrangements, including flight bookings, accommodation, visa applications, travel insurance, and transportation for business travel.
- Provide administrative support for overseas business travel, employee mobility, relocation, and deployment activities.
- Liaise with travel agencies, employees, and internal stakeholders to manage travel logistics effectively.
- Maintain travel records and supporting documentation for audit and reference.
General Administration
- Support company HR initiatives, employee engagement activities, and HR projects as assigned.
- Assist with audits and compliance reviews when required.
- Perform other ad hoc duties and responsibilities as assigned by the HR Manager.
Required competencies and certifications
- Diploma in Human Resource Management, Business Administration, or related discipline.
- Minimum 2 years of experience in HR administration, recruitment coordination, or HR operations.
- Hands-on experience managing Employment Pass, S Pass, and Work Permit applications, renewals, and cancellations.
- Experience preparing employment contracts, offer letters, and employee lifecycle documentation.
- Familiarity with Ministry of Manpower (MOM) regulations and Singapore employment practices.
- Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
- Ability to handle confidential information with professionalism and discretion.
