Contract Period: From 1 February 2027 to 31 January 2029
Personnel to be deployed at the following hours:
• Mondays to Fridays: 7:00am to 4:00pm
• One of the working day i.e. late shift, the hours would be from 10am to 6:30pm. This late shift is fixed on a certain weekday and is schedule to change every 6 months.
• Service not required on Saturdays, Sundays and gazetted public holidays
Requirements:
The Personnel should preferably have the following qualifications, skills and experience:
1. Qualifications
• GCE 'O' Level or Higher NITEC
2. Experience
• 3 years of working experience in general administrative duties in a school, with experience in reception duties in secondary school being an advantage
3. Skills and Competencies
• Customer service oriented with a warm and professional disposition
• General computer skills
Job Scopes:
The Services required are set out as follows:
1. Reception & Visitor Management
• Attend to visitors, parents, students and staff at the reception counter professionally and courteously.
• Answer, screen and manage incoming calls and enquiries, and promptly direct them to the appropriate personnel.
• Attend to delivery personnel and remind staff to pick the items promptly.
2. Administrative Support
• Perform general administrative duties, including data entry, issuance and tracking of physical keys and access cards, calling parents to remind them on arrears, and maintenance of proper records.
• File and archive documents in accordance with the school's records management guidelines.
• Prepare simple correspondence, forms and notices as directed.
• Assist with incoming and outgoing mail and deliveries, including logging, sorting and distributing them to the relevant staff.
• Assist with lost and found, including maintenance of proper records.
3. Stationery & Stock Management
• Manage the school's inventory of stationery and office supplies and maintain accurate, up-to-date inventory records.
• Raise purchase requests when stocks fall below the minimum threshold.
• Receive and verify deliveries against purchase orders and update inventory records accordingly.
4. Student Administration
• Assist with other student administration matters as directed, including issuing certificates and letters, collecting forms and documents, and attending to student-related enquiries at the reception counter.
• Handle students reported sick at the Counter, administer basic first aid to injured students and prepare early dismissal form for students.
5. Ad-hoc Duties
• Carrying out any other duties as assigned by the school's management and staff in support of the school's operations.
