Job Overview

The Marine Purchasing Coordinator manages procurement, tracking, and operational readiness for a specialized fleet of trailing suction hopper dredgers (TSHD). Operating without a dedicated marine software system, this role requires tracking all orders via custom logs/Excel and working closely with the Marine Superintendent to ensure vessels pass flag state/class audits, complete dry-docking on schedule, and maintain 100% operational readiness.

Key Responsibilities

  • Manual Procurement & Inventory Tracking:

    • Track and manage all purchase requisitions, orders, and deliveries manually using custom Excel logs and structured tracking files.

    • Source and purchase engine spares, towing winches, wear plates, suction hoses, hydraulics, safety gear, fuel, and provisions.

    • Monitor stock levels onboard and in shore warehouses to prevent critical spare shortages.

  • Audit Readiness & Class Compliance:

    • Work closely with the Marine Superintendent to ensure all required safety, technical, and class certificates are fully updated.

    • Procure and deliver essential statutory items, safety gear, and spare parts needed for vessels to pass flag state, classification society (e.g., ABS, DNV, BV), and port state control (PSC) audits.

  • Dry-Docking & Operational Readiness:

    • Coordinate with the Marine Superintendent, shipyards, and contractors to prepare materials and spare parts prior to dry-docking.

    • Monitor shipyard deliveries during docking to ensure repairs progress smoothly and lead times are met.

    • Ensure all dry-docking equipment and spare parts arrive on time so vessels pass post-docking checks and immediately resume operations.

  • Vendor Management & Logistics:

    • Negotiate pricing, payment terms, and delivery schedules with marine suppliers and repair workshops.

    • Coordinate local port deliveries, customs clearance, and freight shipping directly to vessels at project sites.

    • Match delivery notes and supplier invoices against quotes before submitting them for financial approval.

Qualifications & Requirements

  • Experience: 2–5 years in marine purchasing, technical sourcing, or fleet operations support—specifically for tugboats, barges, or hopper dredgers.

  • Systems & Tools: Advanced proficiency in MS Excel and spreadsheet tracking (crucial for managing orders without a marine procurement system).

  • Skills: Excellent negotiation, logistics coordination, and time-management skills under tight sailing and docking deadlines.

  • Knowledge: Familiarity with marine engine spares, hydraulics, port clearance procedures, and vessel class audit requirements.
