What You’ll Do
As an Executive Assistant, you will play a key role in supporting the Singapore team by providing high-quality secretarial, administrative, and operational support.
You will help drive the smooth and efficient running of the team by managing a wide range of priorities, coordinating critical administrative processes, and ensuring day-to-day activities are executed with accuracy and professionalism.
The successful candidate will be a trusted and integral member of the broader team, with the confidence and adaptability to work effectively in a fast-paced, international environment.
- Serve as a trusted partner and proactive business coordinator for the Senior Managing Directors and the broader team.
- Proactively manage complex calendars, travel, meetings, stakeholder communications, and follow-up actions to ensure priorities are advanced efficiently.
- Oversee timekeeping, timesheets, expense claims, reimbursements, vendor payments, billing, and client invoicing with accuracy and attention to detail.
- Coordinate new business matter openings, conflict checks, contractual reviews, invoice submissions, and related Finance processes.
- Organize and support internal and external marketing activities, client events, team functions, and business meetings.
- Collate, analyse, and report business data, and assist with presentations, reports, and business-related documents.
- Liaise effectively with other support functions to support smooth business operations.
- Handle sensitive information with sound judgment, discretion, and professionalism.
- Take ownership of ad-hoc priorities and drive business-as-usual activities to an optimal standard.
What You Will Need to Succeed
Basic Qualification
- Minimum 5–6 years of relevant experience in consulting, professional services, or a similar fast-paced environment, with a strong understanding of industry practices and business operations.
- Experience supporting senior stakeholders across different international time zones.
- Exposure to client interactions and a good understanding of client relationship management.
- Proactive, resourceful, and able to take ownership of responsibilities.
- Professional, reliable, and demonstrates strong integrity and work ethic.
- Strong interpersonal and communication skills, with the ability to build effective relationships at all levels.
- Strong organizational and time management skills, with the ability to prioritize competing tasks, manage multiple responsibilities, maintain quality, and meet deadlines.
- Good problem-solving skills, with the confidence to recommend practical solutions.
- Adaptable and flexible in a dynamic and fast-changing environment.
- Detail-oriented, with a strong focus on accuracy and high-quality work.
- Advanced proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
- Immediate availability or ability to start on short notice will be a strong advantage.
