HR Operations Specialist

Job Responsibilities

• Manage the full employee lifecycle, including onboarding, probation confirmation, contract renewal and offboarding.
• Coordinate recruitment operations, including candidate sourcing, interview scheduling and pre-employment arrangements.
• Manage onboarding activities such as employment contract issuance, document verification, medical examination, work pass applications, system access and other logistical arrangements.
• Provide operational support for Non-Traditional Source workforce, including travel and accommodation coordination where applicable.
• Monitor fixed-term employment contracts and process renewals in accordance with company policies and local employment regulations.
• Manage employee exits, including statutory notifications, work pass updates and benefit disenrolment.
• Maintain accurate employee records and HR data across SAP SuccessFactors, Sezame and other local HR systems.
• Prepare HR reports, workforce metrics and dashboards to support business and management decisions.
• Participate in HR system enhancements, process improvement and automation projects.
• Support internal and external audits by preparing the required HR records and supporting documents.
• Serve as the first point of contact for employee enquiries relating to HR policies, benefits and procedures.
• Support the mobilisation and demobilisation of employees assigned to work sites.
• Coordinate employee enrolment and disenrolment with benefits providers.
• Process supplier invoices relating to medical examinations, insurance, work pass applications, air tickets and other HR services.
• Prepare employment verification letters and other employee-related documents when required.
• Coordinate registration for company-organised training programmes.
• Collect and consolidate employees’ learning needs and maintain accurate training records.
• Work closely with HR Operations, HR Business Partners, site managers and other internal departments, including Finance, Legal, IT and Procurement.
• Liaise with candidates, government authorities, auditors, consultants and external service providers.
• Perform other HR operational duties as assigned.

Requirements

• Diploma or bachelor’s degree in Human Resources, Business Administration or a related discipline.
• At least 3 years of relevant HR operations experience covering the full employee lifecycle.
• Good knowledge of Singapore employment legislation, work pass requirements and HR practices.
• Experience using SAP SuccessFactors, Sezame or other HR information systems would be advantageous.
• Strong administrative, organisational and data-management skills.
• Proficient in preparing HR reports, maintaining employee records and processing HR documentation.
• Good written and verbal communication skills, with the ability to communicate effectively with employees at different levels.
• Strong interpersonal and stakeholder-management skills.
• Detail-oriented and able to handle confidential employee information appropriately.
• Able to manage multiple priorities and work effectively with cross-functional teams and external service providers.
• Comfortable supporting site-based workforce operations and addressing operational HR matters.
