Chief is a dynamic company seeking a full-time Personal Assistant to support senior executives in the North Region. The role is based at Woodlands Regional Centre and offers growth opportunities in a collaborative, inclusive environment.
Job Summary
Provide high-level administrative and organisational support to senior executives, ensuring smooth office operations and effective management of schedules, projects, and communications.
Responsibilities
- Provide 24/7 standby support for Senior Management, activated only as necessary
- Deliver comprehensive secretarial and administrative support to Senior Management
- Manage and optimize Senior Management’s calendar, including scheduling meetings, appointments, and travel itineraries
- Collate reports from various departments, prepare presentations, and record minutes of meetings
- Serve as the primary contact point between Senior Management and company heads, local and overseas business units, and external parties
- Accompany Senior Management on short overseas assignments and projects
- Assist in managing and tracking key projects and deliverables to ensure alignment with company goals
- Plan and order inventory updates to maintain office supplies
- Lead and coordinate special projects assigned by Senior Management
- Conduct research and provide analysis on topics as directed by Senior Management
- Monitor project timelines and deliverables to ensure timely completion
- Run errands for Senior Management, including managing Directors’ and Company vehicles
- Attend to personal matters for Senior Management as required
- Support additional special projects and tasks as assigned
Required competencies and certifications
- Possess a valid driving licence
- Minimum Diploma or equivalent in any field of specialization
- Minimum 2 years’ experience as a Personal Assistant or Executive Assistant
Preferred competencies and qualifications
- Strong organisational and time management skills to prioritize tasks effectively
- Excellent written and verbal communication skills for clear and professional correspondence
- Demonstrated good judgment, professionalism, diplomacy, discretion, and initiative in work
- Proven ability to work independently and collaboratively within a team
- Attention to detail and commitment to delivering high-quality work
- Flexibility and adaptability to changing priorities
