Job Description

Our client is seeking a highly experienced and capable Senior Executive Assistant to provide direct support to the Chief Executive Officer.

This is not a conventional Personal Assistant role focused primarily on calendar management and administrative duties. The successful candidate will work closely with the CEO as a trusted right hand, taking ownership of day-to-day priorities, exercising sound judgement and ensuring that key matters are followed through effectively.

The role requires someone who is highly organised, discreet and proactive, with the maturity and confidence to anticipate requirements, prioritise competing demands and make sensible decisions independently.

Key Responsibilities

  • Take full ownership of the CEO's calendar, including prioritising meetings, appointments and competing demands.
  • Act as an effective gatekeeper, assessing and filtering matters requiring the CEO's attention.
  • Coordinate and follow up with senior management on key decisions, action items, deliverables and deadlines.
  • Prepare concise daily briefings, meeting materials and relevant information to ensure the CEO is well prepared for engagements.
  • Maintain a structured and reliable system to track outstanding matters, commitments and follow-ups.
  • Manage business travel arrangements end-to-end, including flights, accommodation, transportation, itineraries and changes.
  • Manage correspondence and selected communications on behalf of the CEO.
  • Coordinate appointments and selected personal matters where required.
  • Liaise professionally with senior executives, clients, business partners and other external stakeholders.
  • Anticipate the CEO's requirements and proactively resolve administrative or operational matters before they require escalation.
  • Handle sensitive and confidential information with the highest level of discretion.
  • Undertake other responsibilities and special projects as assigned by the CEO.

Requirements

  • Ideally 8+ years of relevant experience supporting a CEO, Founder, Family Office Principal, C-suite executive or senior financial-services executive.
  • Prior experience within Private Banking, Wealth Management, Asset Management, Family Office or Financial Services would be highly advantageous.
  • Demonstrated experience supporting senior executives in a demanding and fast-paced environment.
  • Excellent organisational and prioritisation skills with strong attention to detail.
  • Strong judgement and ability to handle matters independently with minimal supervision.
  • Highly proactive, resourceful and able to anticipate requirements rather than simply respond to instructions.
  • Strong written and verbal communication skills.
  • Confident and professional when interacting with senior management, clients and external stakeholders.
  • High degree of maturity, discretion and integrity when handling confidential matters.
  • Ability to remain composed and effective when managing changing priorities and time-sensitive matters.
  • Strong follow-through and personal accountability.

The Successful Candidate

The ideal candidate will be more than an administrative support professional. You should be comfortable operating as a trusted partner to the CEO, understanding his priorities and ensuring that matters are properly managed and followed through.

You will possess the judgement to determine what requires the CEO's attention, what can be delegated and what can be resolved independently.

This position would particularly suit an experienced Executive Assistant who has previously worked closely with a senior leader and is accustomed to operating with a high degree of autonomy, discretion and responsibility.
