Operations Administrator
About this job
This role provides essential administrative and logistical support to the Operations Executive, managing day-to-day SAP data processing, site documentation, procurement requisitions, and post-installation closeouts to ensure a seamless workflow from factory production to site completion.
Key Responsibilities
- Process, input, and maintain daily Production Work Orders and Installation Work Orders accurately within SAP B1.
- Prepare and update production and installation reports.
- Raise stock-related issues and coordinate with the Purchasing Department for replenishment.
- Raise Purchase Requisitions for essential project materials, specifically taking charge of Glass Order processing.
- Reserve and commit stock for production orders via SAP B1.
- Verify and countercheck production sheets to minimize errors.
- Prepare daily site paperwork for installation crews prior to deployment.
- Oversee internal and external coordination for rectification works, follow up on outstanding site fixes, and formally close out Delivery Orders (DOs) upon job completion.
- Maintain digital project archives by systematically organizing and saving completed installation videos and site crew group media.
- Maintain operational filing systems, log administrative status updates, and support the Operations Executive with daily workflow tracking.
- Ensure accurate attendance tracking for project costing and manpower reporting.
- Support general administrative tasks related to operations and handle any ad-hoc responsibilities assigned.
Requirements
- ITE or Diploma in Business Administration, Supply Chain, Logistics, or a related discipline preferred.
- 1–3 years in an administrative, logistics, or operational support role; prior experience in a manufacturing, construction, or interior fitting-out environment is an advantage.
- Hands-on experience entering work orders and Purchase Requisitions in SAP B1 ERP systems, along with strong file management skills and MS Office proficiency.
- Strong analytical, organisational, and problem-solving skills.
- Adaptable, flexible, and able to work independently or in a team.
- Highly motivated and hardworking with a positive and proactive attitude.
