Roles & Responsibilities

Provides comprehensive clinical and administrative support to TCM physicians and therapists in the delivery of safe, personalized, patient-centred healthcare services. Assists in coordinating end-to-end patient care processes, including patient registration and onboarding, collection of relevant patient information, basic health observations, preparation of treatment rooms and equipment, clinical documentation, appointment scheduling, treatment follow-up, and general clinic operations. Supports TCM practitioners in the preparation and delivery of various therapeutic modalities, including acupuncture, tuina, cupping, gua sha/scraping therapy, herbal medicine, and other holistic treatment services, while adhering to established clinical, hygiene, infection-control, and patient-safety protocols. The role also involves maintaining accurate patient records, monitoring treatment materials and inventory, facilitating effective communication between patients and practitioners, preparing treatment supplies, assisting with post-treatment care instructions, and ensuring that clinical areas remain properly organised and operationally ready. Through supervised workplace exposure, the Medical Assistant develops practical competencies in TCM clinical workflows, healthcare administration, professional patient communication, service quality, confidentiality, risk awareness, and safe clinical support practices.

Specific Responsibilities

•Manage and facilitate the end-to-end patient registration and onboarding process by accurately capturing demographic, medical, and relevant treatment information while ensuring a professional and patient-centred experience.

• Collect, verify, and systematically document relevant patient information and basic health observations to support TCM physicians and therapists in conducting consultations and developing appropriate treatment approaches.

• Prepare treatment rooms, equipment, instruments, and required materials in accordance with established clinical protocols to ensure practitioners are adequately supported and treatment sessions are conducted safely and efficiently.

• Provide supervised clinical assistance in the preparation and operational support of TCM modalities, including acupuncture, tuina, cupping, gua sha/scraping therapy, herbal medicine, and other holistic treatments, while strictly observing safety and hygiene requirements.

• Maintain accurate, timely, and confidential patient records, treatment documentation, and administrative information in accordance with clinic procedures, data-protection requirements, and professional standards of healthcare documentation.

• Coordinate patient appointments, treatment schedules, follow-up arrangements, and relevant communications to facilitate an organised and seamless patient-care journey from initial consultation through post-treatment support.

• Implement and consistently observe established infection-control, sanitation, equipment-handling, and patient-safety procedures to minimise clinical risks and maintain a clean, safe, and compliant treatment environment.

• Monitor, organise, and maintain adequate supplies of treatment materials, consumables, equipment, and other clinical resources while supporting inventory tracking, replenishment, proper storage, and operational readiness.

• Provide appropriate supervised post-treatment assistance, reinforce practitioner-provided care instructions, communicate relevant patient feedback to the clinical team, and contribute to the smooth and efficient functioning of daily clinic operations.
