Clinic Assistant

Job Summary

This role supports clinic operations by ensuring smooth daily functioning, assisting clinicians with procedures, managing patient registration and benefits, handling administrative tasks, and maintaining clinic equipment and supplies across multiple Singapore locations.

Responsibilities

• Prepare the clinic for operation before each shift to ensure timely opening and readiness
• Verify opening petty cash balance and ensure POS systems function correctly
• Replenish consumables in doctors’ and treatment rooms to maintain supply levels
• Register patients and verify eligibility for government and corporate benefits accurately
• Update TPA benefits in the Clinic Management System (CMS) to streamline post-consultation and payment processes
• Dispense medication accurately by confirming correct medication, dosage, quantity, and administration route for each patient
• Assist clinicians during minor procedures and provide chaperoning support
• Perform minor procedures such as ECG and record patients’ vital signs
• Schedule patient follow-up appointments and visits efficiently
• Clean and sterilize medical devices and equipment using autoclave procedures
• Manage administrative tasks including scanning and uploading documents (referrals, labs, radiology) into patient portals and CMS
• Record daily fridge temperatures, dispose of sharps safely, and track staff attendance
• Replenish medications and consumables as needed to maintain clinic stock
• Close shifts by reconciling daily takings against payment modes accurately
• Submit timely claims for schemes such as HSG, CHAS, Medisave, and TPA
• Maintain general housekeeping to ensure a clean clinic environment
• Respond promptly to patient inquiries via WhatsApp, phone, and email channels
• Follow up on administrative processes including benefits checks and referrals in a timely manner
• Track and release patient reports efficiently
• Coordinate with vendors such as laboratories and radiology centers for sample collection and report receipt
• Inspect and ensure all medical devices are operational daily
• Perform other duties as assigned by the Clinic Manager and Clinic Lead Doctor

Preferred competencies and qualifications

• Willingness to work shifts including weekends, evenings, and Public Holidays
• Flexibility for cross-deployment to neighboring clinics as needed
• Experience in hospitality or healthcare industries is advantageous
• Ability to communicate in multiple languages is beneficial for patient interaction
• Strong teamwork, interpersonal, and communication skills
• Familiarity with various clinic management systems is a plus
• Proficient with technology and computer applications
