Job Responsibilities

Graduate Course Enrolment

• Manages the end-to-end planning and execution of graduate courses timetabling and enrolment at the University level, closely collaborating with Colleges/Schools and administrative departments.

• Manages prompt communication of course enrolment schedules and instructions, as well as safeguards the integrity and fairness of course registration and vacancies allocation system.

• Monitors the accurate and prompt maintenance of registration records of students to ensure that class enrolment records are complete and in line with students’ curriculum requirements.

• Resolves system issues and manage the change requests to existing systems.

• Manages course enrolment metrics and data generation.

Common Teaching Facilities Administration

• Manages the allocation of common teaching facilities, ensuring equitable sharing and sufficient utilization among Colleges/Schools.

• Manages common teaching facilities bookings.

• Liaise with stakeholders, including requesters and relevant Offices to evaluate the special booking requests, prioritise the allocation of teaching facilities, and resolve any matters arising.

Operational Improvement & System Enhancement

• Support the system development of new Student Management System as assigned by reporting officer, such as review of business specifications, preparation of user stories and test case scenarios, system testing, coordination of cross-team/department requirements and testings, and stakeholder consultation/validation.

• Explore and implement new technologies for automation, e.g. RPA, AI, and data visualisation, for operational efficiency and better student experience.

• Coordinate with Colleges/Schools/Offices and internal teams to implement process enhancements and system improvements.

• Any assigned duties to support Team Lead in OAS and/or University level projects

Job Requirements:

• Bachelor’s degree from a recognised university.

• At least 3 years of relevant experience, preferably in academic administration or student services within the tertiary education sector.

• Experience coordinating complex operational processes involving multiple stakeholders.

• Strong analytical, organisational, and problem-solving skills.

• Familiarity with student information systems or course registration platforms.

• Knowledge of data querying, data visualisation, and automation tools would be advantageous.

• Strong interpersonal and communication skills with the ability to engage stakeholders professionally.

• Ability to work collaboratively across departments and Schools.

• Strong attention to details and ability to manage multiple priorities in a fast-paced environment.
