RESPONSIBILITIES

In this role, you will be responsible for providing strategic and operational leadership of the donor due diligence (DDD), donor onboarding, grants and donations processing functions.

This role ensures that all due diligence checks, donor onboarding procedures, and donation & grants management processes meet the highest standards of compliance, governance, and efficiency. You will oversee a team managing donor and grant transactions, ensuring that documentation, reviews, and processes adhere to internal control standards, regulatory requirements, and Standard Operating Procedures (SOPs).

You will play a key leadership role in strengthening the charity's risk management framework, supporting cross-departmental collaboration, and ensuring that donor and grant processes support the organization's mission and accountability standards.

Key Responsibilities

Leadership & Governance

  • Lead the Donor Due Diligence and Grants Operations function, setting strategic direction and priorities in line with the organization's objectives.
  • Oversee the design, implementation, and continuous improvement of donor due diligence and grant making policies, procedures, and controls.
  • Provide subject matter expertise and guidance to senior management, donor compliance, reputational risk, and donation and grants management issues.
  • Manage periodic reporting to Senior Management, the Board, and regulators on DDD, compliance status, and audit outcomes.
  • Manage and liaise with internal auditors on topics related to Donations & Grants Processing and Donor Due Diligence
  • Support the Data Protection Officer in ensuring the organization's adherence to the PDPA Act and in implementing the Data Framework exercise.

Donor Due Diligence and Onboarding Process

  • Supervise and review the execution of the donor due diligence (DDD) and screening processes for new and existing donors, ensuring timely reviews and compliance with policy standards.
  • Oversee periodic reviews and renewal of due diligence documentation, ensuring continuous validity.
  • Review and approve vendor due diligence documentation to ensure alignment with internal and regulatory requirements.
  • Oversee onboarding of new donors and approve new donor fund creation for completeness, accuracy, and compliance.
  • Work collaboratively with Risk and Partnership & Advisory Finance teams to address complex due diligence cases and enhance risk controls.

Donations & Grants Processing

  • Ensure that donations and grants are processed in compliance with organizational policies and ensuring accuracy, compliance, and timeliness.
  • Supervise staff responsible for processing donations, managing grant transactions, and maintaining accurate records within the core system.
  • Ensure donor statements are delivered to the donors in a timely manner.
  • Partner with the Partnership & Advisory, Applied Philanthropy & Impact and Finance teams to strengthen donor stewardship, reporting, and operational efficiency.
QUALIFICATIONS
  • Bachelor's Degree with minimum 10 years of working experience in managing operations and service delivery.
  • Experience in budgeting, resource allocation, and operational efficiency improvements.
  • Experience in aligning technology initiatives with organizational mission and long-term strategy.
  • Ability to support digital innovation in a non-profit or philanthropic environment.
  • People management skills to lead and motivate Ops team
