Job Description
We are looking for a Sales Admin to support the Sales and Business Development team. The role will be responsible for preparing quotations, sales orders, customer documents, order amendments, sales reports, and coordinating with internal departments to ensure accurate and smooth order processing.
Responsibilities
Sales Administration
- Prepare quotations, sales orders, and supporting documents.
- Process order amendments and customer requests.
- Maintain customer and sales records accurately.
- Ensure all sales documentation is properly updated and filed.
- Support the sales team with daily administrative tasks.
Coordination
- Coordinate between Sales, Kitchen, Warehouse, Operations, and Finance teams.
- Ensure all event and order information is accurate and complete.
- Monitor order progress and highlight discrepancies.
- Follow up with relevant departments on order changes, missing details, or urgent requirements.
- Support internal communication to ensure smooth order and event execution.
Customer Support
- Respond to customer enquiries.
- Follow up on pending quotations and documentation.
- Assist the sales team in daily operations.
- Provide timely updates to customers where required.
- Support customer service standards for catering and event orders.
Reporting
- Prepare daily, weekly, and monthly sales reports.
- Maintain CRM and ERP records.
- Support management reporting requirements.
- Assist in tracking quotations, confirmed orders, pending orders, and customer follow-ups.
Requirements
- Experience in sales administration, events coordination, catering administration, or hospitality administration will be advantageous.
- Good organisational and communication skills.
- Proficient in Microsoft Office.
- Experience with ERP systems is preferred.
- Able to work with accuracy and attention to detail.
- Able to coordinate with multiple departments.
- Responsible, organised, and able to follow up on tasks promptly.
KPI
- Ensure timely and accurate processing of quotations and orders.
- Maintain accuracy of customer and sales records.
- Support achievement of departmental service standards.
- Ensure reports and documentation are submitted on time.
- Provide effective support to the Sales Team and customers.
- Ensure customer and event information is properly communicated to internal departments.
