We are looking for a responsible, organised and hands-on Admin & Operations Executive to support the administrative and operational functions of our healthcare organisation.

Key Responsibilities:

  • Support HR and staff administration, including employee records, attendance and leave, onboarding/offboarding, work pass matters and staff documentation.

  • Assist management with staff communications and follow-up on HR and operational matters.

  • Prepare, collate and submit regulatory, licensing and administrative applications through government and healthcare portals, and track submission deadlines.

  • Maintain proper filing and documentation for regulatory, HR, operational and audit purposes.

  • Process and verify invoices and coordinate documentation for approval and payment.

  • Assist with procurement, including sourcing quotations, purchase requests/orders, supplier coordination and delivery follow-up.

  • Prepare and submit patient claims and billing documentation to relevant agencies and payors.

  • Monitor outstanding claims and receivables and follow up on pending payments.

  • Coordinate incoming patient referrals and placement with hospitals, and support patient onboarding.

  • Liaise with government agencies, hospitals, vendors, suppliers and other external parties on administrative and operational matters.

  • Maintain administrative trackers, spreadsheets and management reports.

  • Provide general administrative and operational support as required.

Requirements

  • Diploma or equivalent qualification, preferably in Business Administration, Healthcare Administration, HR, Accounting or a related field.

  • Prior administrative or operations experience preferred.

  • Experience in healthcare administration, HR, accounts, medical claims or regulatory submissions will be an advantage.

  • Proficient in Microsoft Office, particularly Excel and Word, and comfortable using online portals and electronic records.

  • Good written and spoken English.

  • Organised, meticulous and able to manage multiple tasks and deadlines.

  • Strong attention to detail and ability to cross-check work for errors.

  • Comfortable learning and using government, healthcare and other online submission portals.

  • Able to work independently and follow matters through to completion.

  • Responsible and able to handle confidential staff, patient and financial information appropriately.

  • Positive attitude, willingness to learn and ability to work in a dynamic healthcare environment.
