Role Overview
The Facility Executive plays a key role in ensuring smooth facility operations by managing documentation, coordinating with vendors and clients, and supporting the Facility Manager in daily responsibilities. This role combines administrative precision with on‑ground involvement, requiring strong organizational skills, attention to detail, and the ability to communicate effectively across stakeholders.
Responsibilities:
- Handle facility‑related paperwork, documentation, and reporting to ensure compliance and audit readiness.
- Track schedules, maintenance activities, and project timelines; follow up with vendors, contractors, and clients to ensure timely completion of tasks.
- Prepare meeting agendas, take minutes, and provide prompt updates to the Facility Manager and relevant stakeholders.
- Support the Facility Manager in supervising outsourced contractors and service providers, including monitoring performance and coordinating corrective actions.
- Assist in planning and implementing preventive maintenance schedules, facility upgrades, and improvement projects.
- Conduct site walkthroughs and inspections when required, reporting findings and ensuring issues are addressed promptly.
- Collaborate with cross‑functional teams (e.g., Operations, EHS, Quality Assurance) to align facility support with organizational needs.
- Maintain accurate records of incidents, maintenance activities, and vendor communications.
- Participate in emergency response planning, drills, and compliance audits as needed.
Requirements
Diploma or higher in Facilities Management or equivalent.
FM certification required.
Fresh graduates are welcome to apply
Strong organizational and documentation skills, with the ability to prepare audit‑ready records.
Good communication and interpersonal skills to liaise effectively with vendors, clients, and internal teams.
Ability to multitask and manage priorities in a dynamic environment.
Hands‑on approach with readiness to support ground operations when required.

Comfortable balancing administrative responsibilities with occasional operational duties.
