Human Resource Executive
About this job
We are seeking a responsible, detail-oriented and digitally confident HR Executive to manage our daily HR operations. The successful candidate will handle payroll, work-pass administration, employee records and general HR coordination while using Google Workspace and AI tools to improve efficiency.
Key Responsibilities
Process monthly payroll, including salaries, allowances, overtime, deductions and employee claims.
Prepare and submit CPF, SDL, FWL and other required contributions.
Support annual employment income reporting and employee tax clearance.
Handle applications, renewals, issuance and cancellations of Employment Passes, S Passes, Work Permits and related passes.
Maintain trackers for work passes, probation periods, employment contracts and document expiry dates.
Coordinate employee onboarding and offboarding.
Prepare employment contracts, confirmation letters and other HR documents.
Maintain accurate employee records, personnel files, leave data and attendance information.
Administer employee leave, medical benefits, insurance and claims.
Assist with recruitment, including job advertisements, interview scheduling and candidate coordination.
Respond to employees’ routine HR and payroll enquiries.
Prepare monthly HR reports and support internal and external audits.
Use Google Workspace applications—including Gmail, Drive, Docs, Sheets, Forms and Calendar—to manage HR documents, workflows and collaboration.
Use approved AI tools to support document drafting, data analysis, reporting, research and the improvement of HR processes.
Identify opportunities to automate repetitive HR tasks and improve operational efficiency.
Ensure confidential employee and company information is handled securely when using digital and AI tools.
Ensure HR practices comply with company policies and Singapore employment requirements.
Provide general HR and administrative support when required.
Requirements
Diploma or Degree in Human Resources, Business Administration or a related discipline.
At least 1–3 years of relevant HR experience, preferably in Singapore.
Hands-on experience processing payroll and managing MOM work-pass matters.
Basic knowledge of Singapore employment regulations, CPF and statutory requirements.
Proficient in Google Workspace, particularly Google Sheets, Docs, Drive and Forms.
Comfortable using AI tools such as ChatGPT, Gemini or similar productivity platforms.
Able to use formulas, trackers and reports effectively in Google Sheets.
Strong attention to detail and the ability to handle confidential information responsibly.
Organised, proactive and able to work independently while meeting monthly deadlines.
Good interpersonal and communication skills.
An interest in using technology and AI to improve HR processes is an advantage.
