About the Role

We are looking for an Operations Associate with a strong accounting and finance foundation to support the CEO and Operations Manager within a private investment/family office.

The role covers month-end activities, accounting consolidation, reconciliations, management reporting, cash-flow monitoring, audit and tax documentation, and investment operations across various investment entities.

This opportunity would particularly suit an accounting or audit-trained professional looking to gain broader exposure within a family office or investment environment.

Key Responsibilities

Accounting & Financial Operations

  • Support month-end accounting and closing activities.
  • Review monthly transaction summaries and reconciliations for accuracy.
  • Assist with accounting consolidation across relevant entities.
  • Review monthly management accounts prepared by external accounting providers.
  • Coordinate with external accountants and service providers on financial information and reporting requirements.
  • Maintain accurate financial records and supporting documentation.

Asset & Cash-Flow Monitoring

  • Maintain accurate and secure records relating to assets and relevant financial information.
  • Prepare monthly and quarterly asset and cash-flow overviews.
  • Assist with the preparation and consolidation of annual budgets.
  • Support forecasting of cash-flow requirements.
  • Monitor actual expenditure against budgets and highlight potential surpluses or funding requirements.

Audit & Reporting Support

  • Coordinate with external auditors on required information and documentation.
  • Prepare and organise supporting documentation for annual audits of relevant entities.
  • Monitor reporting timelines and follow up with relevant parties to ensure requirements are completed on time.
  • Assist with documentation required for periodic MAS and other reporting requirements.

Tax Support

  • Coordinate information and supporting documentation required for tax reporting.
  • Assist with tax forecasts based on investment income, capital gains/losses and other relevant financial information.
  • Coordinate information relating to investment portfolios and assets managed by external parties.
  • Assist with monitoring upcoming tax payments and related cash-flow requirements.

Investment Operations

  • Assist with monitoring investment portfolio performance and underlying risks.
  • Support portfolio cash-flow and liquidity monitoring.
  • Maintain investment-related records and documentation.
  • Coordinate with internal and external stakeholders on operational requirements relating to investments.

Corporate Documentation

  • Coordinate with banks, financial institutions and external service providers on documentation requirements.
  • Compile and maintain corporate and KYC-related documents when required.
  • Follow up with relevant parties to ensure required documentation and licences remain current.
  • Specialist KYC or compliance experience is not required for this position.

Requirements

  • Minimum 3 years of relevant experience in accounting, audit, finance operations, fund administration, investment operations or a related field.
  • Diploma or Degree in Accounting, Finance or a related discipline.
  • Strong accounting foundation with experience in month-end closing, reconciliations and financial reporting.
  • Previous external audit experience would be highly advantageous, particularly from a Big 4 or established accounting firm.
  • Exposure to financial services, asset management, investment entities, fund administration or corporate services would be advantageous.
  • Comfortable reviewing management accounts and working with external accountants and auditors.
  • Good understanding of cash-flow, budgeting and financial information.
  • Exposure to SPVs, investment entities or similar structures would be advantageous.
  • Strong numerical and analytical skills with excellent attention to detail.
  • Comfortable working within established processes and procedures.
  • Collaborative, adaptable and willing to learn within a small-team environment.
  • Able to work independently and manage multiple deadlines.
  • High level of confidentiality and discretion when handling financial and personal information.
