About the Job
Joining a highly motivated secretarial team within the asset finance team, you will provide proactive, top-tier administrative and technical support to an assigned group of fee earners as well as the broader team.
Your core responsibilities will include:
- Administrative & Executive Support: Managing complex diaries, schedules, client calls, and hospitality bookings; coordinating detailed international travel itineraries; and managing expense reimbursements.
- Technical Document Production: Drafting, formatting, amending, and proofreading transactional documents; preparing signature pages, closing sets, and transaction bibles; and building PowerPoint presentations for pitches and tenders.
- Corporate & Legal Filings: Conducting ACRA, LawNet, and regulatory searches; assisting with e-filings, stamp duty submissions, and conflict checks.
- Matter Management & Finance: Overseeing matter creation/closure, tracking WIP reports, drafting engagement letters, preparing billing narratives, and coordinating client invoices and collection follow-ups.
About the Manager
You will report directly to the Secretarial Manager / Practice Group Head and work in close partnership with a dynamic team of fee earners (Partners, and Associates). Skills and Experience Required
To be successful in this role, you should possess:
- Prior experience as a Legal Secretary or Legal Assistant, preferably within the asset finance (shipping / aviation) practice area.
- Strong proficiency in MS Office (Word, PowerPoint, Excel) and familiarity with legal technology platforms (e.g., ChromeRiver, InterAction, Intapp, ACRA, LawNet).
- Outstanding document formatting, proofreading, and word-processing skills with meticulous attention to detail.
- Proven ability to manage competing priorities and complex travel arrangements in a fast-paced environment.
- Excellent verbal and written communication skills with a polished, professional demeanor.
- A strong team-player mindset paired with the self-motivation to work independently when needed.
