Personnel to be deployed at the following hours:
• Mondays to Fridays: 8:30am to 5:30pm, inclusive of 45 mins lunch break
• Service not required on Saturdays, Sundays and gazetted public holidays
Requirements:
The Personnel shall minimally have the following qualifications, skills and experience:
• Good interpersonal, communication skills and a collaborative team player.
• Good organizational skills and ability to work in a dynamic fast-paced environment.
• Ability to multi-task with good time management.
• Proficiency in Microsoft Office applications and IT systems.
• At least 2 years of experience in customer service, admin, finance and/or procurement.
• Preferably 2 years of experience in a school environment.
• Possess Diploma or above qualification.
Job Scopes:
The Services required are set out as follows:
Customer service:
• Handle counter duties and inquiries at reception of the School General Office, ensuring smooth daily operations and accurate information delivery.
• Manage customer engagement by attending to phone and walk-in queries from parents, students, staff, and vendors in a friendly and professional manner.
• Provide positive service experiences, addressing concerns effectively and escalating issues when needed to ensure timely resolution.
Admin:
• Oversee bus bookings and ensure accurate scheduling and coordination for school transport needs.
• Manage daily mail by recording, sorting, and distributing incoming correspondence efficiently.
• Coordinate distribution of materials to teachers and students to support smooth school operations.
Finance:
• Liaise with buyers to verify vendors’ invoices, ensuring accuracy and compliance with school policies and financial procedures.
• Assist in collating supporting documents required for timely and accurate payment processing.
Procurement:
• Support and execute procurement transactions, including processing purchase requests and vetting purchase documents for accuracy and compliance.
Operations:
• Administer basic first aid to students as needed to ensure their safety and well-being.
• Manage inventory of stationery and office supplies, maintaining adequate stock levels.
• Perform any other duties or projects assigned by the school to support smooth operations.
