Job Summary
You will manage front-desk operations, coordinate office maintenance, support employee onboarding, and assist with administrative tasks to ensure smooth daily office functions.
Responsibilities
- Manage daily front-desk activities by handling phone calls, mails, guest enquiries, and courier arrangements to ensure efficient communication flow
- Greet guests, determine their visit purpose, and notify the appropriate parties promptly
- Maintain meeting rooms, reception area, toilets, pantry, and common areas to keep them neat, organized, and presentable at all times
- Monitor inventory, order, and manage stationery, pantry items, and office supplies to ensure availability and proper upkeep
- Assist in organizing events, team-building activities, and employee engagement programs to support company culture
- Coordinate office maintenance with external vendors, contractors, and property management, ensuring timely updates to employees
- Support employee onboarding and offboarding by setting up workstations, activating door access, and issuing company assets
- Manage and maintain accurate employee attendance and leave records for administrative compliance
- Maintain accurate documentation and filing systems to support office operations
- Provide additional administrative support and assist with projects as needed
- Participate in On-the-Job Training to develop relevant skills and knowledge
Required competencies and certifications
- Minimum GCE 'O' level qualification
- Minimum 2 years of relevant experience in administrative or office support roles
Preferred competencies and qualifications
- Proficient in Microsoft Office applications to perform daily administrative tasks efficiently
- Demonstrate a positive attitude, polite and cheerful demeanor to foster a welcoming office environment
- Exhibit proactivity and adaptability to work independently and handle ad-hoc responsibilities
- Maintain strong organizational skills and collaborate effectively as a team player
