Key Responsibilities
Executive Support
Manage the CEO's calendar and appointments.
Coordinate domestic and overseas travel.
Prepare meeting agendas, presentations and minutes.
Track action items and follow up with internal teams.
Assist in preparing reports for management meetings.
Commercial Coordination
Prepare quotations and customer proposals.
Coordinate purchase orders and contracts.
Maintain customer records and CRM.
Follow up on quotations and customer enquiries.
Coordinate distributor communications.
Project Coordination
Monitor project schedules.
Coordinate deliveries and logistics.
Liaise with suppliers and customers.
Track project milestones.
Coordinate shipment documentation.
Administration
Maintain organised filing systems.
Prepare invoices and supporting documentation.
Coordinate warranty administration.
Assist with procurement documentation.
Support HR and office administration where required.
Marketing & Events
Support exhibitions and trade shows.
Coordinate marketing materials.
Assist with LinkedIn and website updates.
Help prepare case studies and customer references.
Skills & Requirements
Diploma or Degree in Business Administration, Operations Management or a related discipline.
3–8 years of relevant working experience.
Experience in engineering, construction, industrial equipment, manufacturing or related industries is preferred.
Experience supporting senior management is an advantage.
Excellent organisational skills.
Strong communication and interpersonal abilities.
Proficiency in Microsoft Office (Excel, Word and PowerPoint).
Experience using ERP and CRM systems is an advantage.
Ability to manage multiple priorities simultaneously.
Good written and spoken English.

Become the primary coordinator for the CEO's day-to-day activities.
Ensure customer enquiries and quotations are managed efficiently.
Improve project coordination across multiple countries.
Help streamline internal processes and documentation.
