Operations is a crucial role for PANDATEC's future development and serves as a right-hand pillar for our growth. We transitioned from a furniture supplier to a supply chain company six months ago and are currently in the initial growth phase.
We are looking for a responsible, detail-oriented and highly efficient Operations & Project Coordinator to support our day-to-day operations, customer orders and project execution.
This role is mainly responsible for daily coordination and execution, working closely with customers, logistics teams, workers, suppliers and our quotation team to ensure that every order and project is completed smoothly and on time.
Key Responsibilities
· Reply to and follow up on customer enquiries via WhatsApp and Email.
· Coordinate customer orders, quotations, delivery schedules and project requirements.
· Communicate with the quotation/sales team to ensure customer requirements are clearly understood and quotations are followed up promptly.
· Coordinate logistics, goods receiving, delivery and site arrangements.
· Arrange and coordinate workers for delivery, carrying, installation and site activities.
· Attend site meetings when required and assist with on-site coordination.
· Manage day-to-day project execution, including site activities, equipment deployment and proper records.
· Coordinate with clients, consultants, contractors, suppliers and local authorities to ensure smooth project progression.
· Supervise and coordinate on-site teams, including Heavy Lift Specialists, where required.
· Handle urgent operational matters and provide support for carrying, installation or site work when necessary.
· Ensure all activities are carried out according to safety and operational requirements.
· Maintain proper records of deliveries, site activities, project progress and customer requirements.
What We Are Looking For
· Minimum Diploma in any field.
· Prior experience in sales, operations, project coordination, logistics, procurement or customer service is an advantage.
· Experience or knowledge in purcurements will be an added advantage.
· Strong communication and coordination skills.
· Highly responsible, detail-oriented and strong in execution.
· Able to manage multiple tasks and follow up on matters independently.
· Willing to communicate with customers, workers and suppliers on a daily basis.
· Comfortable with occasional site visits and hands-on operational work.
· Proficient in Microsoft Office and AI tools.
· Positive attitude, willing to learn and able to work in a fast-paced environment.

· Working hours: 9:00 AM – 6:00 PM, Monday to Friday
