5.5-day work week (Alternate Saturdays)

Responsibilities

Join a dynamic facilities management team and play a key role in supporting site operations, purchasing, HR administration, and client coordination.

  • Provide administrative support to site operations and management.
  • Prepare attendance reports, overtime claims, leave records, and employee documentation.
  • Raise Purchase Requisitions (PR), Purchase Orders (PO), Work Orders (WO), and Billing Advice via CMMS.
  • Coordinate with Finance on invoices, claims, and payment follow-ups.
  • Maintain proper filing, records, and documentation.
  • Support HR administration, including submission of overtime claims, leave, training coordination and staff pass renewals.
  • Liaise with clients, vendors, and internal stakeholders on administrative matters.
  • Perform data entry and other ad hoc duties as assigned.

Requirements

  • Diploma qualification in any discipline
  • Minimum 3 years of relevant administrative experience, preferably in facilities management or healthcare environment
  • Good organizational, communication, and problem-solving skills
  • Proficient in Microsoft Office applications, especially Excel and Word
  • Familiarity with CMMS systems will be an added advantage
  • Able to work independently and in a team environment
  • Possess a positive attitude, strong teamwork, and good interpersonal skills
  • Has a good safety mindset and displays good WSH behavior
