Job Summary
You will serve as the primary contact for customers on freight inquiries, manage export bookings, advise on shipping schedules, and coordinate documentation to ensure smooth export operations.
Responsibilities
- Serve as the first point of contact for customer inquiries about freight rates, routes, and port procedures to provide clear and timely information
- Receive export shipping instructions from clients and accurately convert them into carrier booking requests
- Advise clients on optimal routing options, vessel transit times, and cut-off deadlines to meet delivery targets
- Monitor vessel delays, port omissions, or missed cut-offs and promptly inform clients with alternative solutions
- Assist clients in preparing data and paperwork for specialized cargo such as Dangerous Goods (DG) and temperature-controlled shipments
- Secure vessel space by placing bookings with ocean liners for Full Container Load (FCL) and Less-than-Container Load (LCL) shipments
- Coordinate with carriers to arrange release of empty, clean shipping containers from local depots
- Track port cut-off times and document submission deadlines to prevent cargo roll-overs
- Update clients on container tracking milestones including warehouse pickup, port gate-in, and actual vessel departure (ATD)
- Enter shipment milestone data into systems to maintain accurate client-facing tracking portals
- Liaise between clients and customs teams to ensure timely export clearance approvals
- Prepare and send Draft House or Master Bills of Lading to clients for approval, ensuring accuracy before final printing
- Manage release of Original Bills of Lading or execute Telex/Express releases based on client payment status
- Guide clients in obtaining mandatory origin documents such as Certificates of Origin or fumigation certificates
- Provide spot quotes for freight, haulage, and local handling for ad-hoc export shipments from existing customers
- Log and investigate customer complaints related to cargo damage, short-shipments, or roll-overs to resolve disputes
- Clarify billing details with clients, addressing queries on local origin fees or waiting time charges
- Follow up with clients on overdue invoices to maintain active accounts and enable freight release
Required competencies and certifications
- GCE O level qualification or higher
Preferred competencies and qualifications
- At least 1 year of experience in freight forwarding or related field
- Understanding of the local freight market including carriers and subcontractors
- Proficient in Microsoft Excel, Word, and Outlook
- Knowledge of CargoWise, EDI, and Tradenet systems
- Strong customer service skills demonstrated by effectively resolving client inquiries and issues
- Ability to work independently and respond promptly in a fast-paced, high-pressure environment
- Effective team player with excellent interpersonal communication skills
