Mdm Ling Bakery is a Singapore bakery brand built on a simple promise: Love Them All. We bake in our own facility, operate our own warehouse, and manage our own deliveries. Our products reach customers across retail, e commerce, corporate gifting, wholesale, and institutional channels throughout Singapore.

About the role

We’re looking for a temporary Junior Operations Administrator to join us on a 6 month contract. You'll be involved across administration, vendor coordination, events, logistics, and internal projects. This is a hands on role with real responsibility. You'll coordinate people, solve problems, and help improve how we work.

Key responsibilities

• Organise and segregate invoices from vendors and suppliers, and coordinate with Finance to ensure timely payments.
• Prepare and maintain digital documents, reports, presentations, and filing systems.
• Coordinate meeting rooms, virtual meetings, agendas, and minutes.
• Manage office supplies and stationery inventory.
• Coordinate with IT, cleaning, maintenance, and other service providers as required.
• Maintain and update spreadsheets and databases, including inventory logs, vendor trackers, project timelines, and weekly status reports.
• Coordinate with vendors on orders, deliveries, and invoice follow ups.
• Act as an internal point of contact for vendors and suppliers.
• Draft and circulate internal memos, announcements, and meeting recaps.
• Assist with event setup and teardown during peak periods.

About you

• 0–2 years of experience in administration, operations, coordination, or a related field. Fresh graduates are welcome.
• Proficient in Microsoft Office, particularly Excel, Word, and PowerPoint, as well as Google Workspace.
• Strong written and verbal communication skills.
• Highly organised, detail-oriented, and able to manage multiple priorities.
• Proactive, dependable, and willing to take ownership of tasks.
• Comfortable learning and adopting new tools and technologies.
• Experience with Slack, Microsoft Teams, Asana, or Trello is a plus.
