Chief of Staff is responsible for supporting an Executive Leader by enhancing business processes, coordinating key programs, and ensuring the communication of business objectives across the broader leadership team.
This role focuses on maintaining visibility of the Executive Leader’s area of responsibility and day-to-day activities to ensure alignment with the leader’s vision and organizational strategic goals.
Key Responsibilities:
Supports Executive Leader/Leadership team with insight and analysis on business operational plans and progress.
Coordinates as needed in conjunction with various functional teams for information relating to annual/quarterly financial projects, such as Annual Budget, Mid-Year Review, QBR’s, and MBR’s.
Supports the Executive Leader/Leadership team during monthly/quarterly business reviews to ensure follow through on key strategic actions to meet business metrics.
Leads and coordinates strategic initiatives and drives outcomes as they are assigned and works with Executive Leader/Leadership team to deliver, monitor and communicate progress towards strategic business goals.
Provides Executive Leader/Leadership team with timely updates and reports on the status of key initiatives, operational milestones, activities, and issues.
May in certain instances attend meetings on the Executive Leader's behalf to capture and follow up on key actions to support business activities and progress.
Plans and coordinates logistics of meetings or client visits and keeps contents of meetings focused on track.
Supports Executive Leader/Leadership team with setting of operational meeting agendas – All Hands, MLT, SLT etc.
Acts as bridge between Executive Leader/Leadership team and the communications and engagement team, ensuring leader’s vision, voice, priorities, and messaging are effectively translated into all communications. This includes oversight of Executive Leader/Leadership team’s social media presence.
Responsible for gathering, generating, or coordinating regular reporting and key metrics and addresses operational challenges and bottlenecks, escalating critical issues to the Executive Leader/Leadership team for resolution.
Provides support and oversight for special projects and initiatives and complies with relevant ethics and professional standards or corporate and organizational security policies and guidelines.

Excellent computer skills, including MS Suite such as Word, Excel, PowerPoint, SharePoint and Outlook.
Able to efficiently communicate to senior leadership/management both within and outside the company.
Extended analytical ability to assess business situations and create contingency plans.
Excellent project reporting skills, with a focus on cross business unit communication.
Capable in budget planning and financial management.
Extended understanding and focus on operations management, with the ability to approve operational policies and implementation thereof.
Academic Qualifications and Certifications:
Bachelor’s degree
Required experience:
Advanced experience gained in a similar role preferably within a global IT services organization.
Advanced project/program management experience preferred.
Advanced demonstrated experience supporting Executive/Senior Leadership level within a global organization.
Advanced demonstrated experience in planning and execution of strategic initiatives.
Advanced experience leading and managing a team.
Seasoned experience in working in Global MNC / High Tech IndustryCandidates who can speak fluent English and Japanese will be highly of advantage
