As we continue to grow, we are looking for a Compliance & Training Coordinator to join our team. This role is ideal for a highly organised, detail-oriented, and proactive individual who enjoys working in a fast-paced adult training environment and takes pride in maintaining accurate documentation, timely reporting, and strong compliance standards.
You will work closely with our Academic, Operations, Training, and Trainer teams to ensure smooth training administration, accurate records, timely reporting, and continuous improvement of training performance.
Key Responsibilities
Regulatory & Compliance
Prepare and submit results and attendance reports accurately and on time.
Maintain assessment records and post-class documentation.
Follow up with trainers on missing or incomplete documentation.
Scan, file, and archive records to ensure proper documentation and compliance.
Collect daily class dismissal proofs and maintain appropriate records.
Coordination & Communication
Coordinate with Academic, Operations, and Training teams to meet compliance requirements.
Follow up with relevant stakeholders to ensure timely completion of required documents.
Prepare and send monthly compliance updates to channel partners.
Performance Tracking
Track trainer performance scores and share relevant feedback with trainers.
Monitor key performance indicators (KPIs), including weekly and monthly trainee competency results.
Assist in identifying areas for improvement and supporting continuous performance enhancement.
Operational & Ad-Hoc Support
Provide administrative and operational support to the team when required.
Assist with other compliance-related duties and projects as assigned.
Requirements
Diploma or degree in Business Administration, Education, Training & Development, or a related field.
Prior experience in an adult training centre, continuing education provider, private education institution, skills training organisation, or similar training environment is strongly preferred.
Candidates with experience in training administration, academic operations, compliance administration, course coordination, or training coordination will have an advantage.
Familiarity with adult learning and training operations, including course attendance, trainee records, assessments, competency results, and class documentation, is highly preferred.
Strong attention to detail with the ability to identify missing, incomplete, or inconsistent documentation.
Strong organisational skills with the ability to manage multiple classes, trainers, deadlines, and documentation requirements simultaneously.
Good follow-up skills and confidence in communicating with trainers, trainees, internal departments, and external/channel partners.
Comfortable working with numbers, spreadsheets, KPIs, performance reports, and trainee competency results.
Able to maintain confidentiality when handling trainee, trainer, assessment, and organisational records.
Proactive, responsible, and able to work independently with minimal supervision.
Good problem-solving skills and the ability to follow up on outstanding compliance matters until resolution.
Able to work in a fast-paced environment and meet strict reporting and documentation deadlines.
Experience with training management systems (TMS), learning management systems (LMS), or other education/training administrative platforms is an added advantage.
Candidates who have worked in an adult education, WSQ, SkillsFuture, professional training, corporate training, or continuing education environment are strongly encouraged to apply.
