School Operations Officer (Marine Terrace)

Contract Period: 2 November 2026 – 31 October 2027 (option to extend by a further year)
Working Hours: Mondays to Fridays, 8:00am – 5:00pm (incl. 45-min lunch break)
Rest Days: No work required on Saturdays, Sundays, and gazetted public holidays
Key Responsibilities & Duties
- Assist in managing the school's operational processes, including scheduling, correspondence, and documentation, as well as coordinating logistics for school events, programmes, examinations, emergency exercises, and meetings
- Promptly address and log facility defects, feedback, or operational disruptions raised by staff or pupils
- Assist in supervising business partners and contractors for building maintenance, cyclical repairs, and infrastructure improvements, and conduct routine checks on school facilities (classrooms, playgrounds, Science Laboratories, AVA rooms, etc.) to ensure high standards of cleanliness and safety
- Collaborate with the school's team of Operations Support Officers on daily cleaning schedules and asset maintenance
- Liaise with vendors, contractors, and external stakeholders on facility and operational matters, and assist in preparing reports and administrative documents
- Assist with procurement of products and services relating to operational requirements, including supporting internal systems and procurement/inventory management of school supplies and equipment
- Support the school's safety and security protocols, including overseeing the safe arrival and dismissal of pupils and ensuring school premises are well-maintained and compliant with safety requirements
- Assist with asset and inventory tracking and renovation project planning; maintain accurate and up-to-date records
- Undertake ad-hoc duties as assigned by the Vice-Principal (Administration) or Operations Manager
Job Requirements
- Minimum GCE 'O' Level qualification or equivalent, with at least 2 years of experience in operations, logistics, and/or estate management
- Prior experience in an administrative cum operations role is an advantage; experience in a school or child-centric environment is a plus
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and general computer literacy for managing school systems and digital workflows
- Strong interpersonal and communication skills, vendor negotiation abilities, and the capacity to manage crisis situations calmly and effectively
- Strong organisational skills, a patient and nurturing disposition, and the ability to multitask and adapt to shifting priorities
- A collaborative team player who works well with teachers, staff, and parents, and is comfortable navigating a dual reporting structure
- A Fire Safety Manager (FSM) or Workplace Safety and Health (WSH) certification would be an added advantage
