Service Operations Coordinator (Planning & Fulfilment)

Job Purpose

We are looking for a proactive and organised Service Operations Coordinator to coordinate customer orders, service jobs and field-service activities from order confirmation through planning, scheduling, execution, documentation and billing readiness.

You will work closely with our Sales, Technical Support, Field Service, Logistics and Accounts teams to ensure customer orders and service jobs are properly planned, followed up and completed on time.

This is a planning, coordination and operations role. Previous UPS or battery experience is not required. Training will be provided.

Key Responsibilities

• Plan and maintain the daily/weekly service job and manpower schedule.
• Coordinate PM, installation, commissioning, troubleshooting, repair, battery replacement and other field-service jobs.
• Coordinate confirmed customer orders from order receipt through fulfilment and billing readiness.
• Arrange customer appointments, site access, shutdown timing and other job requirements.
• Ensure equipment, batteries, spare parts, materials and required documentation are ready before scheduled jobs.
• Coordinate job assignments and schedules with Field Service Specialists (FSS).
• Track all active and outstanding jobs, including status, owner, blocker, next action and target completion date.
• Follow up proactively on delayed jobs, outstanding actions, customer requirements and service documentation.
• Coordinate with Sales, Logistics, Technical Support and Accounts to resolve issues affecting job completion.
• Follow up on Field Service Reports, PM reports, commissioning reports and other required documentation.
• Ensure completed jobs are promptly progressed to Billing Ready / Closed status.
• Provide Management with regular updates on scheduled, completed, pending and overdue jobs.
• Escalate potential delays and operational issues early.

Requirements

• Minimum Nitec / Higher Nitec / Diploma in Business Administration, Operations, Engineering, Logistics, Customer Service or related discipline.
• Experience in service coordination, scheduling, order fulfilment, sales operations, project administration or customer service is advantageous.
• Fresh graduates with strong organisational and communication skills are welcome to apply.
• Strong planning, coordination and follow-up skills.
• Able to manage multiple jobs and priorities simultaneously.
• Good working knowledge of Microsoft Excel, Outlook and Word.
• Good communication and customer-service skills.
• Detail-oriented with good administrative and documentation discipline.
• Proactive, responsible and comfortable following up with different departments and field personnel.
• Able to work independently and take ownership of assigned jobs through to closure.

Experience in engineering, M&E, facilities, HVAC, lifts, fire protection, security systems, industrial equipment or other field-service industries is an advantage but not essential.

UPS and battery experience is not required. Structured training will be provided.
