Job Overview
You will be working closely with the Senior Management in delivering high-level secretarial and administrative support. This role manages complex calendars, coordinates seamless travel and meeting logistics, handles confidential information, and tracks business expenses. Acting as a key operational anchor, you will collaborate with administrative colleagues across Senior Leadership to execute ad hoc projects, resolve daily operational challenges, and ensure smooth workflow.
Responsibilities
- Provide comprehensive secretarial and administrative support to Senior Management.
- Coordinate, schedule, and prioritize meetings and calendars with internal and external stakeholders.
- Handle sensitive information with the utmost discretion, integrity, and professionalism.
- Manage flight, accommodation, and transport bookings in compliance with company policy, and process post-trip claims.
- Prepare, track, and submit business and entertainment expense claims accurately and promptly.
- Coordinate venues, room bookings, equipment setup, catering, and administrative support for meetings and events.
- Maintain organized, accurate, and easily retrievable digital and physical filing systems.
- Assist Senior Management with ad hoc projects, tracking progress and following through to completion.
- Work closely with administrative colleagues supporting Senior Leadership to ensure smooth office operations.
- Proactively identify and resolve operational issues while managing competing priorities and tight deadlines.
Requirements
- Possess a Diploma or Degree with 4-5 years of administrative support experience for senior leadership.
- Strong interpersonal abilities to communicate and collaborate smoothly across all organizational levels.
- Demonstrate exceptional written and verbal communication skills.
- Skilled in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Exhibit strong organizational skills, resourcefulness, and the ability to anticipate the needs of the senior management.
- Capable of balancing multiple tasks simultaneously while maintaining rigorous attention to detail and accuracy.
- Work effectively both independently and within teams to handle competing priorities in a fast-paced environment.
- Maintain a high standard of professionalism, sound judgment, and strict confidentiality.
