  • Working Hours: 8.30 – 6.00pm (Mon-Thu) 8.30 – 5.30pm (Friday)

Key Responsibilities:

Learning Events Registration

  • Create and maintain the course catalogue in the training portal
  • Monitor the shared training inbox and track learning event approvals
  • Coordinate course, conference, and event registrations with external learning providers
  • Send registration links for verification and monitor registration status
  • Ensure learning event confirmations are communicated to staff before the event
  • Manage course rescheduling and cancellations, and update staff accordingly
  • Process training invoices promptly, ensuring applicable grants and subsidies are applied with complete supporting documents

Learning Operations & Administration

  • Provide administrative and logistical support for centrally managed learning events
  • Prepare training materials, coordinate venue setup, manage attendance, and support digital platforms such as Mentimeter and Pigeonhole
  • Arrange refreshments and provide onsite event support
  • Handle staff enquiries related to training and learning activities
  • Update the team's master training tracker to ensure accurate records
  • Coordinate onboarding learning programmes for new hires, including workshop scheduling and logistics
  • Raise purchase requests and purchase orders for training-related activities
  • Support the development and maintenance of learning roadmaps and functional competencies

Training Records & Reporting

  • Maintain accurate training records and learning data
  • Collate learning statistics across Core, Functional, and Leadership competencies
  • Prepare reports and support management reporting on training activities and capability development

Requirements:

  • Diploma in any discipline
  • Minimum 3 years of experience in HR operations or administrative support
  • Experience supporting learning & development or training administration will be advantageous
  • Strong organisational and time management skills with excellent attention to detail
  • Proactive and able to work independently while collaborating effectively within a team
  • Proficient in Microsoft Outlook, Excel, and PowerPoint
  • Comfortable using collaboration and learning tools such as Microsoft Forms, MS Teams, SharePoint, Kahoot, Mentimeter, and Pigeonhole would be an advantage
