Admin Executive

Job Description

• Prepare quotations, and standard sales and service contracts

• Submit COE bidding applications through ONE.MOTORING (LTA) portal

• Coordinate and ensure timely submission of permits, renewals and other regulatory/compliance documents (e.g. vehicle registration, licenses, etc.)

• Provide administrative support to Sales team and daily coordination with the internal teams to ensure smooth business operations

• Handle incoming customer inquiries and requests via phone, email and WhatsApp

• Update and maintain relevant databases, Excel trackers and administrative records accurately

• Maintain systematic and well-organized filing systems for both physical and digital documents

• Leverage AI tools to improve efficiency in database management and administrative workflows

• Perform other ad-hoc duties assigned by the supervisor

Requirements

- Min. Diploma in Business Administration or equivalent

- Min. 2 years of relevant experience in administration or operations support, preferably in automotive industry

- Knowledge of LTA COE bidding and submission processes is a strong advantage

- Strong communication skills, ability to multitask and work independently in a start-up environment

- Proficient in Microsoft Office; knowledge of SAP system is a plus

- Immediate availability or short notice period is an advantage
