Role Overview

We are looking for an organised and dependable HR & Administrative Executive to support the company’s day-to-day administrative and HR operations.

This role covers a combination of payroll administration, statutory submissions, HR documentation, general office administration, and customer correspondence. The ideal candidate should be comfortable handling confidential information, maintaining accurate records, and managing routine administrative matters independently.

Key Responsibilities

HR & Payroll Administration

  • Process monthly payroll accurately and within the required timelines.
  • Prepare and maintain payroll records, employee information, attendance, leave records, and other HR documentation.
  • Support statutory and employment-related submissions, including relevant IRAS filings.
  • Assist with CPF-related payroll administration and other statutory requirements where applicable.
  • Prepare basic HR documents such as employment letters, confirmation letters, employee records, and other standard documentation.
  • Support employee onboarding and offboarding administrative processes.
  • Maintain proper filing and confidentiality of employee and payroll information.
  • Assist with general HR enquiries and other HR administrative matters when required.

Administration & Customer Support

  • Handle general administrative duties and maintain proper documentation and filing systems.
  • Prepare, organise, and update basic documents, reports, forms, and records.
  • Monitor and respond to customer emails in a professional and timely manner.
  • Coordinate internally to follow up on customer enquiries or administrative matters where necessary.
  • Perform data entry and maintain accurate company and customer records.
  • Assist with day-to-day office coordination and operational administrative tasks.
  • Support management with ad-hoc administrative duties as required.

Requirements

  • At least 3 years of relevant experience in administration, HR administration, payroll, or a related function.
  • Hands-on experience with payroll processing and IRAS-related submissions.
  • Familiarity with CPF administration and Singapore employment-related administrative processes would be advantageous.
  • Comfortable preparing basic HR and administrative documents.
  • Good written communication skills, with the ability to respond professionally to customer emails.
  • Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
  • Experience using payroll, HRIS, accounting, or administrative systems would be advantageous.
  • Strong attention to detail and accuracy, particularly when handling payroll and employee information.
  • Able to maintain confidentiality when handling sensitive employee and company information.
  • Organised, responsible, and able to manage recurring administrative deadlines independently.
  • Good interpersonal and communication skills with a service-oriented mindset.
