Responsibilities

  • Handle and maintain a full set of accounts for maritime or shipping operations, including general ledger, accounts payable, accounts receivable, journal entries, accruals, prepayments, and fixed assets.
  • Process and verify invoices relating to vessel operations, including port charges, agency fees, bunker expenses, repairs and maintenance, vessel supplies, and other operating costs.
  • Manage accounts payable by reviewing supplier and port agent invoices, preparing payment schedules, processing payments, and reconciling vendor statements.
  • Manage accounts receivable, including preparation of invoices, monitoring outstanding balances, following up on overdue payments, and maintaining customer ageing reports.
  • Review and reconcile vessel-related expenses and disbursement accounts to ensure costs are properly recorded and allocated to the correct vessel, voyage, or cost centre.
  • Perform monthly bank reconciliations and investigate discrepancies between bank statements, accounting records, and operational transactions.
  • Support month-end, quarter-end, and year-end closing activities, including preparation of vessel cost schedules, accruals, reconciliations, and financial reports.
  • Assist in preparing management reports, vessel operating cost reports, cash flow reports, budget comparisons, and variance analysis for management review.
  • Support external audits, tax filings, GST/VAT matters, and statutory reporting by preparing supporting schedules and documentation and responding to auditor queries.
  • Liaise with vessel managers, operations teams, port agents, suppliers, ship owners, charterers, banks, auditors, and other external parties on accounting and payment-related matters.

Requirements

  • Diploma or Degree in Accounting, Finance, Business Administration, Maritime Business, or a related discipline.
  • Typically 2–4 years of relevant accounting experience, preferably within the maritime, shipping, ship management, logistics, or marine industry.
  • Experience in full-set accounting, accounts payable, accounts receivable, general ledger, bank reconciliation, month-end closing, and financial reporting.
  • Familiarity with maritime-related expenses such as port disbursements, bunker costs, vessel operating expenses, agency fees, crew-related costs, and voyage expenses would be an advantage.
  • Proficient in Microsoft Excel and accounting or ERP systems; experience with maritime or vessel management accounting systems would be an added advantage.
