Payroll & Onboarding Specialist
About this job
Role Overview
You will manage end-to-end payroll operations while utilizing your recruitment expertise to bridge the gap between talent acquisition and HR operations. This role ensures compensation packages are accurately translated from candidate offers to employee paychecks, while providing a seamless onboarding experience and maintaining compliance with local employment regulations.
Core Responsibilities
End-to-End Payroll Processing: Execute accurate, timely payroll cycles for all salaried and hourly employees. Manage complex calculations including deductions, prorations, commissions, bonuses, and tax withholdings.
Offer & Compensation Alignment: Partner with the Talent Acquisition team to structure competitive offers. Utilize your recruitment background to confidently explain total rewards, equity packages, and benefits structures to final-stage candidates.
System Integration & Data Integrity: Oversee the seamless transition of new hire data from the Applicant Tracking System (ATS) into the HR Information System (HRIS) and payroll databases, ensuring zero data loss or entry errors.
Onboarding & Inquiry Management: Serve as the primary point of contact for new hires. Resolve complex queries regarding benefits enrollment, first-paycheck expectations, tax forms, and direct deposit setups.
Compliance & Reporting: Conduct regular audits of payroll data. Ensure strict adherence to current labor laws, wage and hour regulations, and internal company policies. Generate monthly headcount and compensation reports for finance teams.
Process Optimization: Identify bottlenecks in the hiring-to-payroll pipeline. Design and implement new workflows that reduce administrative delays between a candidate signing an offer and receiving their first paycheck.
Required Qualifications
Experience: 3+ years in direct payroll administration, supplemented by at least 1-2 years in full-cycle recruitment, talent acquisition, or a recruitment-heavy HR Generalist role.
Technical Proficiency: Strong hands-on experience with major HRIS/payroll platforms (e.g., Workday, ADP, Gusto) and modern Applicant Tracking Systems (e.g., Greenhouse, Lever).
Analytical Skills: Advanced spreadsheet capabilities (VLOOKUPs, pivot tables) for payroll auditing and compensation benchmarking.
Communication: Exceptional ability to translate complex payroll and tax concepts into clear, candidate-friendly language.
Compliance Knowledge: Deep, up-to-date understanding of local labor laws, overtime regulations, and statutory reporting requirements.
