Role Overview
The Event Manager oversees the end-to-end planning, operational execution, and financial management of live, corporate, and entertainment events. This role collaborates closely with clients, production crews, technical vendors, and venue authorities to ensure high production value, strict schedule adherence, and full compliance with workplace health and safety regulations.
Key Responsibilities & Duties
Project Planning & Client Management
- Lead the conceptualisation, scoping, and operational timeline planning for live events, exhibitions, and corporate activations.
- Liaise with clients and internal stakeholders to establish clear project deliverables, production milestones, and service standards.
- Conduct risk assessments and develop contingency plans to ensure seamless on-site operations.
Budgeting & Vendor Procurement
- Formulate, allocate, and monitor project budgets, ensuring cost control and timely financial reconciliation.
- Source, negotiate with, and supervise third-party suppliers, including staging, audio-visual, lighting, venue, and talent vendors.
- Manage procurement schedules, equipment logistics, and contract administration across all event phases.
On-Site Production & Show Execution
- Supervise on-site load-in, stage construction, live technical rehearsals, show running, and teardown operations.
- Direct on-site event staff, stage managers, and technical crews to execute master run sheets with precision.
- Resolve urgent operational issues, technical contingencies, and schedule changes quickly during live events.
- Enforce venue safety regulations, crowd control protocols, and statutory licensing requirements.
Post-Event Reporting
- Conduct post-event reviews to evaluate operational performance, client satisfaction, and return on investment.
- Consolidate operational feedback and financial reports to optimize future production workflows.
Requirements
- Proven working experience in event management, live entertainment production, or experiential marketing.
- Demonstrated capability in budget planning, vendor contract management, and on-site event execution.
- Strong project management abilities with a track record of handling multi-track timelines under pressure.
- Effective verbal and written communication, leadership, and crisis-management skills.
- Flexibility to work irregular hours, including evenings, weekends, and public holidays, based on production and event schedules.
