Grant & Regulatory Reporting

  • Oversee the preparation, reconciliation and submission of monthly and periodic ECDA-related grant and reporting requirements.
  • Ensure enrolment, residency, attendance and programme-related data are accurately reconciled across internal systems and regulatory records.
  • Review discrepancies, coordinate corrective actions and ensure appropriate supporting documentation is maintained.
  • Coordinate the submission and internal clearance process for Operating Grants, Recurrent Grants, Pre-Operating Grants and applicable programme grants.
  • Monitor submission timelines and ensure all required declarations, adjustments and supporting documents are completed appropriately.

Data & Reporting Governance

  • Establish and maintain accurate records for enrolment, attendance, grant and programme-related reporting.
  • Work with relevant operational stakeholders to investigate data discrepancies and implement timely corrections.
  • Review calculations and supporting information before submission to ensure consistency and completeness.
  • Maintain appropriate documentation and audit trails for reporting and compliance purposes.

Audit & Compliance Coordination

  • Serve as the central coordinator for annual ECDA external audits and company audit certification exercises.
  • Coordinate audit schedules, participating centres, documentation requirements, meetings and fieldwork arrangements.
  • Liaise with internal stakeholders and external auditors to facilitate the timely exchange of information and supporting documents.
  • Coordinate management responses, clarification requests and follow-up actions arising from audit exercises.
  • Track post-audit rectification activities and monitor completion within the required timelines.

Document & Stakeholder Management

  • Establish and maintain structured digital repositories using platforms such as OneDrive and SharePoint.
  • Manage document access for relevant stakeholders while ensuring appropriate record-keeping.
  • Coordinate with Centre Leaders, Operations, Finance/AFD, HR, Internal Audit and other relevant stakeholders to ensure timely completion of reporting and audit requirements.
  • Maintain comprehensive records to support management review, regulatory reporting and audit readiness.
