Position Summary

The Facilities Executive is a support role responsible for assisting the Facilities Manager in the day-to-day management, maintenance, and operation of the organization's buildings, facilities, and estate infrastructure. The role supports maintenance planning, contractor management, regulatory compliance, facility improvement projects, and operational activities to ensure a safe, efficient, and well-maintained environment for staff, visitors, devotees, and stakeholders.

Key Responsibilities

Facilities Operations &Maintenance

  • Assist the Facilities Manager in managing and maintaining building facilities and estate infrastructure, including M&E systems, ACMV, lifts, plumbing and sanitary systems, fire protection systems, gas systems, CCTV, access control systems, landscaping, pest control, security services and general building works.
  • Support the planning, coordination, and monitoring of preventive and corrective maintenance programmes.
  • Conduct routine inspections and follow up on maintenance issues, repairs, and defect rectification works.
  • Respond to day-to-day facility-related issues and coordinate timely corrective actions.

Contractor, Vendor &Asset Management

  • Assist in managing contractors, service providers, maintenance contracts, and vendor performance to ensure service standards are achieved.
  • Obtain quotations, evaluate proposals, and raise purchase requisitions in accordance with procurement procedures.
  • Track and maintain facility assets, equipment inventories, licenses, and maintenance records.

Projects, Compliance &Safety

  • Support Addition & Alteration (A&A) works, upgrading projects, facility enhancement initiatives, and defect management during the Defects Liability Period (DLP).
  • Assist with license renewals, statutory inspections, regulatory compliance matters, and liaison with relevant authorities.
  • Support the implementation of safety requirements, fire safety practices, and business continuity initiatives.
  • Perform Fire Safety Manager (FSM) duties where appointed and certified.

Operational & Event Support

  • Support operational requirements for religious activities, events, and organizational functions.
  • Assist in coordinating logistics, facilities readiness, and operational support for events.
  • Supervise and coordinate technicians and contractors when required.
  • Perform any other duties and responsibilities assigned by the Facilities Manager or Management.

Job Requirements 入职要求

  • Diploma in Facilities Management, Building Services, Mechanical Engineering, Electrical Engineering, Civil Engineering, or a related discipline.
  • Minimum 3 years of relevant experience in facilities, estate, or building management.
  • Good knowledge of building services, maintenance management, M&E systems, fire protection systems, and facility operations.
  • Experience in contractor management, project coordination, procurement processes, and maintenance planning.
  • Strong analytical, problem-solving, communication, and interpersonal skills.
  • Able to work independently, manage multiple tasks, and respond effectively to operational issues.
  • Proficient in written and spoken English. Proficiency in additional languages, including Mandarin, may be advantageous when communicating with contractors, vendors, stakeholders, or members of the public who may not be proficient in English.
  • Comfortable working in a Buddhist religious environment and supporting activities conducted within such an environment.

Working Arrangement

  • 5-day work week
  • One weekday and one weekend day (Saturday or Sunday) off each week
  • Required to work on weekends, Public Holidays, or after office hours based on operational requirements
